Privacy Policy

1. Information we collect

Depending on how you use Arman ATS, we may collect the following categories of information:

• Account and profile information: name, email address, profile image, organization, role, and account identifiers.
• Recruitment information: candidate records, job applications, interview details, evaluations, messages, and other information submitted by customers and users.
• Google Workspace information: the Google account identifier, name and email address; calendar names, identifiers, time zones, access roles, and selection status; free/busy time intervals; and information about interview events created or managed by Arman ATS.
• Technical and usage information: IP address, device and browser details, timestamps, security logs, and activity needed to operate, secure, and troubleshoot the service.

2. How we use information

We use information to:

• provide and administer Arman ATS;
• authenticate users and protect accounts;
• manage recruitment workflows and candidate records;
• find available interview times and prevent scheduling conflicts;
• create, update, or cancel interview events and Google Meet links at the user's or organization's direction;
• maintain synchronization, diagnose failures, and provide support;
• comply with law and enforce our agreements.

3. Google user data

When you connect Google Workspace, Arman ATS requests only the permissions needed to identify the connected account, list and select calendars, read free/busy availability, and manage interview events on the selected calendar.

For availability checks, Arman ATS processes busy time intervals. It does not import or display the titles, descriptions, or guest lists of unrelated personal calendar events. Event details are processed when Arman ATS creates, updates, or cancels an interview event on your behalf.

We do not sell Google user data, use it for advertising, use it to build profiles unrelated to interview scheduling, or use it to train generalized artificial-intelligence or machine-learning models. Our use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.

4. How we share information

We may share information with the organization that provides your Arman ATS account, people involved in an authorized hiring workflow, and service providers that help us host, secure, communicate, and operate the service. These providers may use the information only to provide services to us and must protect it appropriately.

We may also disclose information when required by law, to protect users or the service, in connection with a business transaction subject to appropriate safeguards, or with your explicit consent. We do not sell personal information.

5. Security

We use administrative, technical, and organizational safeguards designed to protect personal information. Connections use HTTPS in transit, and Google OAuth credentials are encrypted at rest and access-controlled. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.

6. Retention and deletion

We retain information only for as long as needed to provide the service, meet contractual and legal obligations, resolve disputes, and maintain security and audit records. Google OAuth credentials are deleted from Arman ATS when the integration is disconnected. Cached free/busy data is short-lived. Limited connection, synchronization, and audit metadata may be retained for defined operational, security, and legal periods.

Disconnecting Google does not automatically delete interview records already created in Arman ATS or events already created in Google Calendar. You may request deletion of eligible personal information by contacting us. We may retain information where required by law or where a permitted security, fraud prevention, or legal need applies.

7. Your choices

Subject to applicable law and your organization's control of its business records, you may request access, correction, or deletion of your personal information. You can disconnect the Google integration from Arman ATS settings. You can also review or revoke access from your Google Account connections page. Revoking access stops future access to Google data but does not by itself delete records already stored in Arman ATS.

8. International transfers

Information may be processed in countries other than the one in which you live. Where required, we use appropriate safeguards for international transfers of personal information.

9. Children's privacy

Arman ATS is a business service and is not directed to children. We do not knowingly collect personal information from children except where an authorized organization processes lawful recruitment information in accordance with applicable law.

10. Changes to this policy

We may update this Privacy Policy as our services or legal obligations change. We will publish the updated policy here and change the effective date. We will provide additional notice when required by law.
